Privacy Policy
How we handle your personal information — written in plain language, aligned with the Protection of Personal Information Act (POPIA).
1. Who we are
This policy explains how Valotone 10 CC t/a The Fire Guy (“The Fire Guy”, “we”, “us”) collects and looks after your personal information when you use our website, request a quote, make a booking, or buy products and services from us.
- •Responsible party: Valotone 10 CC t/a The Fire Guy
- •Company registration: 2009/005534/23
- •VAT number: 4220252359
- •Address: Unit 2, Edison Business Park, Vanderbijlpark, Vaal Region, South Africa
- •Information Officer: Collin (Information Officer) — thefireguy.vaal@gmail.com
We are committed to protecting your privacy and to processing your personal information lawfully, fairly, and transparently as required by POPIA.
2. What information we collect
We only collect what we need to serve you. Depending on how you interact with us, this may include:
- •Contact details — your name, company name, email address, phone number.
- •Service details — your physical or site address, the equipment you own or need, and details of the work requested.
- •Quote & invoice information — the items quoted, prices, purchase order references, and signatures captured on quotes or delivery receipts.
- •Booking information — the date, location, and nature of a service booking.
- •Messages — anything you send us through our contact or enquiry forms.
- •Technical information — basic, non-identifying information needed to keep the site secure and working (for example, rate-limiting to prevent abuse, and error diagnostics).
We do not ask for, or store, your banking details, card numbers, or ID numbers through the website. Payments are arranged directly with you by electronic funds transfer.
3. Why we collect it, and our lawful basis
We process your personal information for the following purposes, each on a lawful basis recognised by POPIA:
- •To provide our services (supply, service, and certify fire equipment) — necessary to perform our contract with you.
- •To prepare quotes and issue tax invoices — necessary for the contract and to meet our legal obligations (for example, SARS record-keeping).
- •To respond to your enquiries and bookings — based on your request and our legitimate interest in running the business.
- •To send service reminders (for example, when equipment is due for its annual service) — based on our legitimate interest in keeping your equipment compliant, and on your consent where required.
- •To keep our systems secure and reliable — based on our legitimate interest in protecting the business and our customers.
Where we rely on your consent (for example, optional marketing), you may withdraw it at any time — see Your rights below.
5. How long we keep it
We keep your personal information only for as long as we need it for the purposes above, and as required by law:
- •Tax and accounting records (quotes, invoices, delivery receipts) — retained for at least five years, as required by South African tax law.
- •Equipment and service records — retained for as long as you remain a customer and for a reasonable period afterwards, so we can prove compliance and service history.
- •Enquiries and contact messages — retained only as long as needed to deal with your request.
When we no longer need your information, we securely delete or de-identify it.
6. How we protect it
We take the security of your information seriously and use appropriate, reasonable technical and organisational measures to protect it — including encrypted connections, access controls, role-based permissions for our staff, and audit logging of sensitive actions. No system is perfectly secure, but we work continuously to safeguard your information and to improve our defences.
If a security breach affecting your personal information ever occurs, we will notify the Information Regulator and you as required by POPIA.
7. Your rights
Under POPIA you have the right to:
- •Access the personal information we hold about you (section 23).
- •Correct or update information that is inaccurate, irrelevant, or out of date (section 24).
- •Request deletion of information we no longer have a lawful reason to keep.
- •Object to processing based on legitimate interest, and to opt out of direct marketing at any time.
- •Withdraw consent where we rely on it, without affecting processing already carried out.
- •Complain to the Information Regulator if you believe we have mishandled your information.
8. How to exercise your rights
To make any request, email our Information Officer at thefireguy.vaal@gmail.com or call us on 066 125 6868. We will respond within a reasonable time and may need to verify your identity before acting on a request.
